Fractional Chief Operating Officer

Job description

About our client

The client is one of Queensland’s largest independent corporate advisory firms, established 40 years ago, and is an exclusive partner of an international advisory network. The firm specialises in M&A, corporate advisory, and professional services, supporting mid-market and international clients with complex strategic and financial initiatives.

The business comprises a team of 10 senior M&A professionals and three support staff, delivering high-quality, bespoke solutions with a reputation for excellence across Australia and international markets. It operates with a collaborative, client-focused culture, emphasising strategic insight, operational rigour, and innovative solutions.

With a proven track record spanning more than three decades, the firm has built deep expertise in deal execution, corporate finance, and advisory services, offering employees the opportunity to work on diverse and high-impact engagements. The organisation values autonomy, entrepreneurial thinking, and the ability to deliver measurable outcomes for clients.

About the role

Reporting to the Executive Chair, the Fractional COO will take full ownership of the operational transformation, ensuring the business shifts from a “systems exist” approach to one where systems actively drive decisions and outcomes. You will lead the optimisation of existing CRM, project management, and timesheeting systems, embedding operational discipline and data visibility across the organisation.

A key element of the role is integrating operational improvements into business development processes, ensuring pipeline visibility, accountability, and consistent reporting. You will also collaborate closely with the AI lead to implement pilot programs and embed workflow automation tools that enhance both operational efficiency and business development outcomes.

This is a highly visible role, requiring you to influence senior professionals, coach and develop a small team of support staff, and ensure adoption of standardised workflows and reporting practices. The role demands a combination of strategic thinking, hands-on delivery, and the ability to balance immediate operational priorities with longer-term transformation objectives.

Key Responsibilities

Operational Leadership
  • Optimise CRM, project management, and timesheet systems to drive actionable insights and operational discipline.
  • Establish and embed “systems-driven” practices in day-to-day operations
Process Standardisation
  • Document and standardise workflows across operations and business development.
  • Ensure team adoption of SOPs and best practices
Team Development
  • Build capability in support staff through coaching, structured performance reviews, and hands-on mentoring.
  • Deliver training programs aligned to operational transformation goals
Cross-Functional Coordination
  • Integrate operational, sales, and AI initiatives to ensure seamless execution.
  • Collaborate with key business stakeholders to align priorities and maximise efficiency
Transformation Delivery
  • Lead the execution of a 9–12 month operational transformation roadmap.
  • Deliver measurable improvements across operational efficiency, team performance, and BD integration
The Person

The ideal candidate is a highly experienced fractional COO or senior operations leader who thrives in environments of change and can influence professionals at all levels of the business. You bring a proven track record of optimising underutilised systems, embedding disciplined workflows, and delivering measurable operational and commercial outcomes. Your experience in corporate advisory, M&A, investment banking, or professional services operations will allow you to navigate the complexity of a high-performance advisory firm, while your fractional experience ensures you can make an outsized impact in 2–3 days per week.

You are a natural integrator and influencer who can balance strategy and execution. You have the credibility to lead and coach a small operational team, while influencing senior professionals across business development and project delivery functions.

You bring expertise in CRM optimisation, project management, performance dashboards, and adoption of AI or automation tools, combined with strong stakeholder management, communication, and change leadership skills. Above all, you are a pragmatic problem-solver who can get things done, foster accountability, and create a culture where data-driven decision-making becomes the norm.

Why This Role is Different

This is a rare opportunity to step into a fractional executive role with tangible impact across operations, business development, and technology adoption. You won’t be starting from scratch; the systems, processes, and team exist, but you will unlock their full potential, driving operational discipline, efficiency, and performance. You will influence both operational and commercial outcomes while coaching and upskilling staff to become self-sufficient, capable operators.

Unlike traditional COO roles, this position combines strategic influence with hands-on execution in a highly visible, high-stakes environment. You will work closely with the Executive Chair and senior professionals to transform the business over a 9–12 month period, embedding processes and systems that will deliver sustainable operational excellence. Early wins are measurable within the first 90 days, with the ability to see tangible results in efficiency, adoption, and pipeline visibility, while laying the foundation for longer-term commercial and operational success.
