Fleet & Procurement Administration Officer

Troocoo are partnering with a not-for-profit organisation, based in the northern suburbs of Brisbane. We are seeking a Fleet & Procurement Administration Officer to join the procurement team on a full-time permanent basis.

The Role

To effectively administer and execute fleet operations and assist the Procurement team with administrative tasks associated with the Procurement function, in accordance with company policies and procedures, applicable laws and business requirements.

Requirements:

  • Coordinate an efficient customer focused service and maintain efficient systems to the enable successful execution of vehicle purchases/modifications, new vehicle leases, extension of leases and the currency of vehicle registrations.
  • Coordinate and ensure that all insurances, fuel cards, e-Tags, vehicle repairs, servicing, COIs, tolls, and traffic infringements for all new and existing vehicles are monitored and kept up to date within applicable timeframes.
  • Ensure that all monthly charge outs to services/facilities are carried in an accurate & timely manner.
  • Build and maintain effective relationships with both internal and external stakeholders.
  • Undertake monthly reviews on existing leases to determine if they have met the required lease terms and recommend alternate options for optimising leasing arrangements across the organisation. Action recommendations as approved.
  • Assist in the management of vehicle fleet to provide the most financially and environmentally sustainable fleet operations
  • Assist the Procurement team with administrative duties relating to their function, this will include but is not limited to raising of purchase orders, filiing, email management.
The Person
  • Industry experience, or equivalent industry experience in supply chain management and/or motor vehicle fleet management.
    Demonstrated highly effective interpersonal and written communication skills, including intermediate computer skills (e.g. Microsoft Office Suite).
  • Ability to work independently within a busy team and with limited supervision.
  • Current Driver’s Licence and willingness to drive in the course of work.
  • Relevant probity checks required by legislation and company policy.
  • Proof of Vaccination Status
