Job description
Due to company growth another new position has come up at this government funded NFP in Brisbane CBD. This position would suit a Senior Admin / PA or EA candidate.
The Executive Assistant is responsible for providing quality administrative support primarily to the Chief Executive Officer (CEO). This role ensures efficient and effective management of their schedules, communications, coordination, and operational support.

The Executive Assistant is responsible for providing quality administrative support primarily to the Chief Executive Officer (CEO). This role ensures efficient and effective management of their schedules, communications, coordination, and operational support.
Duties and responsibilities:
- Manage schedules, appointments, and travel arrangements for the CEO and on occasion other executives who are travelling with the CEO.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming and outgoing communications on behalf of the CEO.
- Coordinate and compile pre-briefing materials for the CEO’s meetings with high-level stakeholders
- Schedule and coordinate Board meetings, sub-committee meetings, and other events.
- Prepare agendas, take minutes, and distribute them to relevant parties.
- Plan and coordinate internal and external events, including staff meetings, training sessions, and team-building activities
- Assist with project planning, execution, and tracking for the CEO.
- Provide administrative and logistical support for program and project delivery areas, ensuring successful completion of activities and milestones, where directed by the CEO.
- Maintain records and documentation to support operational activities and compliance requirements.
- Demonstrated capacity to effectively deliver and coordinate operational functions.
- Proven performance in working with established quality management systems
- High-level writing skills, including the ability to produce well-structured reports and documents.
- High-level interpersonal and verbal communication skills, with the ability to build sound working relationships.
- Ability to handle confidential information with discretion.
- Previous work experience in administrative support or as an executive assistant.
- Ensure the office environment is well-maintained and all inquiries are handled promptly.
- Source and deliver comprehensive pre-briefing materials for high-level meetings.
