About the role
As the Executive Assistant to four busy General Managers, you will be responsible for providing high-level support ensuring their schedules are managed effectively. Forming part of the administrative support team, you will report into both the Executive Assistant and the Office Manager. You will use initiative to identify the needs of the GM’s and predetermine any additional support they may require particularly throughout peak or busy periods. You will be across the workflow of all GM’s and ensure they remain well-informed of all upcoming deadlines, commitments, and responsibilities, particularly for Board Reporting. Day-to-day responsibilities will include:
- Extensive diary management.
- Proactive and effective approach to meeting preparation, ensuring research is compiled and documentation is prepared.
- Organisation of meetings, including scheduling, agenda preparation, presentation compilation, arranging all video/teleconferencing, taking minutes and managing action items.
- Maintaining regular and effective communication with internal and external stakeholders.
- Travel management and bookings.
About You
You will be an organized, and experienced Personal Assistant who thrives in a fast-paced, dynamic environment. You will bring prior experience in providing high-level support to a team, ideally consisting of busy senior-level individuals. You will be confident in your ability to pre-empt support required from the GM’s, particularly as they are quite self-sufficient. As a self-starter, you will be a proactive in providing support and be confident in supporting the broader team. You will be a highly organized and energetic individual who is able to balance priorities and manage your time effectively ensuring support is received across all GM’s.
