AO5/1 Service Maintenance Coordinator

Job description

Key Responsibilities
  • Administer preventative maintenance contracts in Ellipse, maintaining accurate asset records.
  • Supervise onsite contractors and trades to deliver quality services.
  • Monitor work orders and report on service standards, milestones, and costs.
  • Track and report equipment data using Ellipse and Excel.
  • Prepare clear documentation and presentations in Word, Excel, and PowerPoint.
  • Conduct WHS audits and on-site safety inspections.
  • Use building services expertise to support procurement and ensure correct service frequencies.
  • Provide prompt, professional customer service and manage correspondence.
  • Coordinate with suppliers, industry partners, and stakeholders for efficient service delivery.
  • Contribute positively to team culture and process improvements.
  • Maintain and update procedures, manuals, and registers.
  • Ensure data accuracy in Ellipse and Microsoft Office systems.
About You
  • Experience with Ellipse or similar contract administration systems.
  • High-level proficiency in Excel, PowerPoint, and Word.
  • Strong technical knowledge of building services and preventative maintenance.
  • Proven ability to administer contracts and supervise field staff.
  • Highly organised with excellent attention to detail.
  • Understanding of procurement, work order management, and technical specifications.
  • Strong communicator, able to handle enquiries and liaison effectively.
  • Proactive, customer-focused, and a collaborative team player.
  • Professional attitude with a commitment to workplace culture and continuous improvement.
