Troocoo 
Troocoo Government are currently assisting a valued client find their next Archivist (A03). This is an initial 9-month temporary contract starting ASAP with potential to extend. Within this role you will provide mail, messenger, documents and records management services as well as the provision of documents production service for an established QLD State Government Department. To be eligible for this role you must have prior work experience (over 12 months) in a Records Management Team. 
  
Role Duties  
The AO3 Archivist will be responsible for: 
  • Apply the principles of Recordkeeping Standards and the Public Records Act 2002 to promote legislative compliance.
  • Prepare inactive records for transfer to QLD State Archives or disposal for off-site storage as necessary. This will include legacy records.
  • Entering information into a computerised records management system to register and monitor location of files.
  • Creation of archiving index.
  • Closing matters in Business Data Drive – moving them to the archive folder and creating Paper profile to link to Retention & Disposal.
  • Archiving of legal matters (significant and non-significant).
  • Assisting with saving of documents into eDOCS (using guidelines and correct naming conventions).
  • Assisting the legal teams with ensuring any loose filing is placed onto correspondence file before closing.
  • Creation of file closure checklists.
  • Utilising software to support Records Management (Elite 3E, Visual Files, BD, DM, RM Admin Tool, Objective Connect & eBrief ready.
  • Please be advised this role contains exposure to trauma and/or vicarious trauma  
About You 
To be successful within this position you would bring the following: 
  • Over 12 months' experience in Records Management, proficiently maintaining compliant records under the Public Records Act 2023.
  • Skilled in using eDOCS and Elite ERP for effective record registration, monitoring, and file location management.
  • Strong organizational skills and attention to detail, ensuring accurate archiving, matter closure, and naming conventions.
  • Committed to applying Recordkeeping Standards and Public Records Act 2023, including preparing inactive records for transfer or disposal.
